Playbook: Leveraging Slack with RB2B for Real-Time Visitor Insights
Updated over 3 weeks ago

Overview

RB2B’s integration with Slack allows teams to receive real-time notifications about de-anonymized website visitors directly in their Slack workspace. This integration bridges the gap between website traffic data and actionable insights, enabling swift collaboration and strategic decision-making.

This playbook outlines best practices and strategies for using Slack in conjunction with RB2B to optimize your lead engagement and sales efforts.

Slack Notifications for Identified Visitors

When RB2B identifies a visitor on your website, it sends a notification to your designated Slack channel, providing key details about the visitor in real-time. This allows your team to stay informed and take timely action based on visitor activity.

There are two types of visitor notifications you may receive in Slack:

  • Net-New Visitor Notifications – These notifications alert you when RB2B identifies a visitor for the first time. They include the visitor’s name, contact details, company information, and the specific page where they were identified. This helps your team recognize new potential leads and initiate engagement.

  • Repeat Visitor Notifications – Sent no more than once per day for each returning visitor, these notifications inform you when someone previously identified by RB2B revisits your website. They include the total number of pages viewed during the visit and the date of the visitor’s initial identification. This allows you to track ongoing interest and engagement from returning prospects.

By leveraging these notifications, your team can efficiently monitor visitor activity and respond strategically to both new and returning website visitors.

Understanding the Icons in Slack Notifications

When RB2B sends a visitor notification to Slack, it may include up to three icons displayed below the visitor's name. These icons provide quick visual indicators about the visitor’s status or activity, helping your team assess their engagement at a glance.

Best Practices for Using RB2B Notifications in Slack

1. Designate a Dedicated Slack Channel

  • Create a channel such as #rb2b-notifications to centralize all RB2B updates.

  • Limit channel access to relevant team members (e.g., Sales, Marketing, Customer Success).

2. Create Notification Rules and Tags

  • Use RB2B’s filtering tools to focus notifications on high-value opportunities.

  • Consider leveraging RB2B's Hot Leads tagging feature to send only visitors matching your Ideal Customer Profile to Slack.

3. Integrate Notifications with Workflow Tools

  • Pair Slack notifications with tools like CRM systems to log visitor data and assign tasks automatically.

  • Use Slack apps like Zapier or Make.com to automate workflows based on RB2B events.

Collaborating Around Notifications

1. Establish a Response Protocol

  • Define a clear process for handling notifications. For example:

    1. Sales representative acknowledges the notification by reacting with an emoji.

    2. Assign follow-up tasks within Slack or your CRM.

    3. Update the team on the status of the lead.

2. Use Threads for Discussions

  • Start a thread under each notification to:

    • Discuss strategies for engaging the lead.

    • Share context from past interactions.

    • Tag team members who should take action.

3. Escalate High-Priority Leads

  • Set up keyword-based alerts in Slack (e.g., “CEO” or “Fortune 500”) to notify key stakeholders when significant leads appear.

  • Use Slack’s “@here” or “@channel” mentions sparingly for urgent leads.

Enhancing Engagement with Slack Tools

1. Use Slack Reminders

  • Set reminders for follow-ups on leads using /remind. For example:

    • /remind me to check back on Acme Corp tomorrow at 9 AM.

2. Leverage Slack Apps

  • Integrate Slack with tools like Google Calendar or Trello to schedule and track lead engagement activities directly from Slack.

3. Pin Key Notifications

  • Pin high-priority notifications in the channel for easy access and reference.

Metrics and Reporting

1. Track Engagement

  • Monitor Slack activity metrics to ensure timely responses to RB2B notifications.

  • Use tools like "Slack Analytics" or third-party reporting apps to evaluate team performance.

2. Review Lead Outcomes

  • Cross-reference RB2B notifications with CRM data to analyze:

    • Conversion rates

    • Average response times

    • Revenue generated from Slack-sourced leads
