Setup Guide for Hot Leads Tagging

The Hot Leads tagging feature is only available for RB2B Pro users.

With RB2B's Hot Leads tagging feature, you can effortlessly keep track of visitors to your most important pages. Simply set up an Hot Leads tag, and voilà! Anyone who visits and matches that profile is automatically tagged. You can quickly spot these visitors under the Profiles tab in your dashboard, making it easier than ever to understand who’s engaging with your key content.

How RB2B's Hot Leads Tagging Functions

RB2B's Hot Leads tags operate using an OR logic between the six available categories within each tag.

When setting up a tag, if a category is left blank, it functions as if the "All" option is selected. This means that the system will not restrict matches based on that category.

Users can specify how many of the defined categories need to match for a visitor to meet the Hot Leads criteria. Importantly, categories left blank or set to "All" are not included in the count when determining how many fields must match. By default, only one category match is required for a visitor to qualify as a Hot Lead, but you can adjust this threshold as needed.

How to Set Up Hot Leads Tagging

Hot Leads tagging is available in your dashboard by clicking the "Hot Leads" link under the "Tagging" heading or by visiting https://app.rb2b.com/filtering/hot_leads.

To add your first profile click the "Set Up" button.

Setting Up Your Tag

Setting up your tag happens in four steps:

  1. Define the name of your tag. This will help you identify users who match it as well as integrations that are using it.

  2. Define your tag criteria.

  3. Define the required numbers of fields that much match for a visitor to qualify.

  4. Apply a filter to integrations of your choice.

Defining Tag Criteria

You can define your tag by choosing at least one option in any of the six categories listed below. You are able to apply as many filters to a category as needed.

Leaving a category blank or setting it to "all" fields has the same effect because both options result in no filtering being applied to that category.

Defining the Required Number of Matches

Each Hot Leads configuration allows you to define up to 6 criteria. These criteria can be anything from job title, company size, industry, seniority, to location—any data point that RB2B is able to resolve in the visitor profile.

Once you've set your criteria, you also decide how many of them must be matched in order for a visitor to be tagged as a Hot Lead.

  • You may fill in all 6 criteria, but only require a match on 3.

  • By default, the number of required matches is set to match the number of criteria you’ve filled in.

  • You can manually adjust this threshold based on how strict or flexible you'd like your Hot Lead qualification to be.

Applying a Filter to An Integration

Users are able to apply Hot Leads tags to integrations of their choosing. This will change the type of visitors that are sent to that integration and limit it to only those that match the applied Hot Leads tag(s).

Users are able to apply as many or as few Hot Leads tags to an active integration as they wish.

If a tag is not applied to an active integration it will continue to receive the regular, unfiltered stream of identified visitors.

Best Practices for Setting up Hot Leads Tags

To get the most out of the Hot Leads feature, keep the following tips in mind:

Align Criteria with Your Ideal Customer Profile (ICP)

Start by defining your ICP clearly. What industries, roles, or regions matter most? Use these as your primary Hot Lead filters. Avoid choosing broad or vague criteria that could result in false positives.

Use a Flexible Match Threshold When Testing

If you're just starting out, consider setting the required match count lower than the number of criteria. This helps you cast a slightly wider net and learn which attributes are most predictive of conversion.

Tighten Criteria Over Time

Once you’ve collected some data, you can increase the match requirement to focus only on the most qualified leads. For instance, you may find that leads matching 4 or more of your criteria are far more likely to convert.

Prioritize Value Over Volume

It's tempting to aim for a high volume of Hot Leads, but quality usually delivers better ROI. If you're getting too many low-fit leads, raise the match requirement or refine your criteria to be more specific.

Review and Adjust Regularly

Markets shift, products evolve, and your ICP may change. Revisit your criteria every few weeks to ensure they still reflect your most valuable targets.
